Getting started

What is QlearView?
QlearView is a project workspace that brings projects, tasks and time tracking together in one platform. Built around “Calmer planning. Sharper delivery.” — with workflows that flex around your team and live insights from kanban to billable hours.
Who is this guide for?
For every user in your workspace: team members tracking daily work, managers overseeing projects, and admins configuring users, roles and integrations.
Where do I start after creating a workspace?
Open the Dashboard for an overview of your tasks and hours. Use the sidebar under MAIN for daily activities (Dashboard, Backlog, Time Tracking) and MANAGE to set up clients and projects.

Login & access

How do I log in?
Via Single Sign-On with your Google or Microsoft account, or with your username/email address and password on your workspace login screen.
Can I stay logged in?
Yes. Check “Remember me” on the login screen to keep your session across visits.
Forgot your password?
Click “Forgot password?” on the login screen to reset your credentials via the steps sent to your email address.

Tasks & planning

What does the dashboard show?
Eight KPI cards (including my tasks, active tasks, overdue tasks, hours), charts by stage and priority, a 14-day hours overview, project health and lists of your tasks and upcoming deadlines.
How does the backlog work?
The backlog is a list view of all tasks. Filter by stage, priority, assignee, client, project, tags, due date and more. Click a row to open the detail panel.
How do kanban boards work?
Each board shows a workflow's stages as columns. Tasks appear as cards with title, project, estimate vs. logged time, assignee, due date, priority and tags. The same filters as the backlog are available.
What can I do in the task detail panel?
Start a timer, watch the task, edit metadata (status, priority, assignee, tags, due date, estimate), add subtasks, comments and attachments, and view logged time and activity history.

Time tracking

How do I log time?
Go to Time Tracking for a monthly or weekly view. Click + on a date, drag a task from the sidebar onto the calendar, or use the persistent timer at the bottom right.
Can I export time entries?
Yes. The export function in Time Tracking lets you generate time reports for further processing or invoicing.

Clients, contacts & projects

How do I manage clients?
Under MANAGE → Clients you see a list with name, email, phone and creation date. Open a client for contact details, notes and linked projects, tasks and contacts. You can edit, archive or delete clients.
What are contacts?
Contacts are people linked to clients or projects. Manage them under MANAGE → Contacts with name, email and phone.
How do projects work?
Projects show name, client, workflow, start and due dates and budget (logged vs. estimated). The detail view includes description, status, timeline, estimate health and tabs for tasks and attachments.

Tags & workflows

What are tags for?
Tags categorize tasks flexibly (e.g. bug, feature, urgent). Create, edit and delete tags under CONFIGURE → Tags. The list shows how many tasks are linked to each tag.
How do workflows work?
Workflows define project lifecycle stages (e.g. Brief → Design → Review → Approved → Done). They directly power which columns appear on your kanban boards.

Workspace & account

How do I manage users and roles?
Under WORKSPACE → Users you invite team members and manage status and 2FA. Roles (Admin, Manager, Member) define permissions: Admin has full access, Manager manages clients and projects, Member works on assigned tasks.
What integrations are available?
QlearView connects with Teamleader Focus and Exact Online to sync contacts, clients, projects, tasks and time entries. Zapier is available on the Business plan.
How do I secure my account?
Under ACCOUNT → Security you change your password, set up an authenticator app (TOTP), enable email codes for 2FA, generate backup codes and link Google or Microsoft accounts for SSO.
How do I configure notifications?
Under ACCOUNT → Notifications you choose per category (assignments, mentions, comments, due dates, etc.) whether to receive in-app, email (immediate or digest) or browser push notifications.
